Office Administrator / Manager

Eberly & Associates, Inc. is looking to for an office administrator / manager to join our fast paced and goal oriented team, tasked with the responsibility of the general operation of our office.

Responsibilities

• Answering Phones and transfer to the appropriate team member
• Welcome, greet, and assist all visitors and clients
• Order, coordinate, and set up food delivery as needed
• Processing Specs, Hydrology Reports, etc.
• Assist in Proposal writing as needed
• Process PE License renewals for various states
• Vision/Vantagepoint/CRM database upkeep
• Handling Incoming and Outgoing Mail, Couriers, Shipping
• Scheduling Meetings / Meeting Set-ups
• Maintain inventory of office supplies, kitchen snacks and beverages; orders new supplies as needed
• General Office Organization (filing, copying, archiving) as needed
• Empty dishwasher daily
• Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs to maintain uninterrupted function
• Submit standard and non-standard maintenance requests, including requests for janitorial services to property management
• Setup and prepare workspace for new hires
• Organize and schedule company events
• Performs other related duties as assigned

Qualifications

• High School Diploma (or equivalent)
• Minimum 3 years office administration experience; preferably within the A/E/C industry
• Proficient in Microsoft Office Suite, Adobe, and Outlook or related software
• Strong written and verbal communication skills
• Professional Phone Voice
• Proficient in Computer Network Navigation
• Capable of operating office hardware (printers, copiers, scanners)
• Excellent Organizational/Multi-tasking Skills
• Attention to Detail
• Excellent typing skills
• Proven ability to work well independently or as part of a team
• Must have a positive, professional attitude
• Strong time-management and people skills, flexibility, and multi-tasking ability
• Valid Driver’s License and reliable vehicle required

Preferred Qualifications

• Knowledge of the Engineering field
• Knowledge of the Deltek Vision or Vantagepoint program
• Knowledge of the Newforma program
• Excellent interpersonal and customer service skills
• Engaging personality and optimistic outlook
• Ability to handle confidential information
